Welcome, below is a guide set out in sections, outlining and answering questions that you may have regarding our services.
Consultations:
We start with an initial consultation held in our store at a mutually agreeable time. During your consultation we welcome any pictures, colour swatches, mood boards etc. anything you have and would like to bring along to help us gain a clear understanding of the style of your wedding. We believe a personal consultation to be the most thorough way to quote for your wedding & accordingly we do not provide a quote via email or without consultation, * some exclusions apply.
You are entitled to a 45–60 minute free consultation with one of Copper Beech’s qualified wedding consultants. At this appointment your wedding expert will discuss your ideas regarding the overall theme & then individually discuss the elements you wish to obtain a quote on. This is an in-depth discussion about all items required for your wedding, the colour theme, style & sizes you visualise. We will also discuss, a basic delivery schedule & the next steps involved should you wish to proceed with our services. During this appointment you will be provided our professional advice & any options that may be appropriate. Please note that during this initial quotation process you are pencilled into our diaries for your wedding date, we expect that should your situation change and our services are no longer require you notify us as soon as possible.
A final complimentary appointment will be taken place approximately 2-3 weeks prior to the wedding, we are happy to conduct this appointment at our store or over the phone. Any subsequent appointments will be charged at $50 per hour, or part thereof. You are entitled to ONE free revised quote, any additional revisions will incur a $20 administration fee to rework the existing quote. If these charges are applicable, they will be added to the final invoice.
The Quoting Process:
Your quote is valid for 30 days. This timeframe is determined by the date on your itemised quote. The date of your wedding will remain pencilled into our diary until a deposit has been received. Should our services no long be required we do ask that you contact us either via phone or email as soon as possible so that we can open this date up to other couples. After the 30 days, should a deposit not be receive the date pencilled into our diary will open up to other couples. Bookings will not be held without a deposit.
A 40% non-refundable deposit & the return of a fully completed & signed “Quote acceptance” form, see below, is required to secure your wedding date, upon the acceptance of your quote , you agree to all the listed elements on the quote. The deposit is credited towards the balance of your invoice. The remaining balance is due 2 weeks (14 days) prior to your wedding date.
Cancellations:
Should you need to cancel your booking, you will need to notify us via email as soon as possible. We are happy to offer a transfer for your booking to another available date, with a minimum of 60 day’s notice. Cancellations within the 60 days will incur a 40% cancellation fee. Reducing and or cancelling items on your quote will be allowed however if any more than 10% reduced or cancelled a cancellation fee of $250 one off will apply. * This is at your wedding expert’s discretion.
Flower Selection and Substitution:
Copper Beech will provide a detailed quote which will include names of blooms discussed at the initial consultation. If flower choice is quoted as seasonal an outline of content will be discussed at our final appointment. We will keep on your file any images you provide as inspiration. These will be used as a guide only. Please be aware that a lot of web-based images are edited, and colours altered to make an attractive picture, not all colours are a true reflection of what mother nature creates. Seasonality can vary so if substitution needs to happen it will be at the discretion of your wedding expert. Substitutions will be similar (as close as possible) for flowers and colour matches.
Minimum Order:
Copper Beech has a set minimum of $2000, however some exclusion may apply.
Delivery, Set up & Bump Out Fees:
Copper Beech charges and hourly rate of $95 ex GST per person, for all deliveries. We charge from the time our expert leaves the shop until time it takes to return. A discussion about our delivery schedule will take place at our initial consultation. This will need to be confirmed at your last appointment, 2-3 weeks prior to wedding date.
Bump out will be quoted at same rate for next day collection of hired items. Should a bump need to occur same evening an additional fee will apply. We use an external company to bump out same evening weddings.
Once Copper Beech has delivered quoted elements in accordance to schedule, we are not responsible for any damages that may take place.
Public Holiday and Sunday Surcharge:
A surcharge of 15% will apply to any weddings that occur on a Public holiday or on a Sunday.
Hired Items:
All hired items, vases, as outlined in your quote are your responsibility. Should any item be lost, damaged or stolen it is your responsibility to pay for the replacement. The cost will be charged at retail cost. An invoice will be sent for payment within 7 days of wedding date.
Payment:
Payment can be made either via direct deposit, (see details on quote), AfterPay or via credit card. For direct deposits please use your surname and date of wedding as a reference.
Credit card payments will incur a 2.5% transaction fee. Credit card payments can be made in person or over the phone.
